Privacy Policy

El mejor DOC is a directory of healthcare professionals operated by Sociedad de Profesionales Expertos SPE S.A.S. ("we", "us"). This policy explains how we handle personal data in compliance with Colombia's Data Protection Law (Law 1581/2012, Decree 1377/2013).

1. Data we process

From patients: name, phone, email (optional), reason for consultation and browsing data when they request to contact a doctor.
From doctors: professional identification data (name, specialty, city, photos, bio, contact info). We build profiles from public professional information (health directories, insurer networks and Google) and from what the doctors themselves provide.
From doctor accounts (those who claim their profile or register): email, ID document type and number, and dashboard activity logs.

2. ID document used to verify doctors

To confirm that the person claiming a profile or registering is a healthcare professional, we only ask for the ID document type and number. Since October 7, 2026 we no longer ask for any photo.

We use the document number to confirm in ReTHUS (Colombia's national registry of healthcare professionals, run by the Ministry of Health) the professional registration and that the name matches the profile, and to detect repeated requests about the same identity. We do not use it for anything else.
The lookup is done by a person on our team: the process is manual and it usually takes 1 to 2 business days.
Before submitting it, the doctor checks an express authorization box; without it the request cannot be sent. We keep the date and the version of the text they accepted.
The number is stored privately and is never published on the profile. Only El mejor DOC's verification team can see it. In the internal email notices we receive, the number is masked; it is only shown in full inside the admin panel.
If the request is approved, we keep it as proof of verification. You can ask us to delete it at any time by messaging our WhatsApp +57 305 454 9100 or by writing to citas@elmejordoc.com.
If the request is rejected, we delete the full number. We keep a code derived from the number, used only to recognize repeated requests, and, in the internal review log, its last 3 digits, the name that was looked up in ReTHUS, and the date and IP address of the authorization.
If a request is left unfinished or unresolved, the number is kept while it remains open. There is no automatic time-based deletion: we delete it when you ask us on WhatsApp at +57 305 454 9100 or by email.
We never share it with third parties unless required by competent authority.

Photos received before October 7, 2026. Until that date, verification was done with a photo of the doctor holding their ID document. We no longer ask for it. Those images contain sensitive personal data and we keep handling them as we promised when we received them:

They are stored in a private Google Cloud Storage bucket. Not publicly accessible.
Only El mejor DOC's verification team can access them, via temporary signed links that expire (within 7 days at most).
If the claim was approved, we keep the photo as proof of verification while the profile remains claimed. You can ask us to delete it at any time by messaging our WhatsApp +57 305 454 9100 or by writing to citas@elmejordoc.com.
If the claim is rejected, the photo is deleted immediately.
We never share these images with third parties unless required by competent authority.

3. Purposes

Connect patients with healthcare professionals.
Allow doctors to manage their public profile.
Verify in ReTHUS that those who claim a profile or register are healthcare professionals.
Send operational notifications (claim approval, patient contacts received).
Generate aggregated statistics and usage metrics.

4. Your rights

You can access, update, correct, delete your data or revoke consent by messaging our WhatsApp +57 305 454 9100 or by writing to citas@elmejordoc.com. We respond within 15 business days.

If you are a healthcare professional and want your profile removed from the directory, message our WhatsApp +57 305 454 9100 or reply to the email we sent you: we remove it and confirm it to you, within that same period.

5. Cookies

We use strictly necessary session cookies, plus analytics (Google Analytics) and ad-measurement cookies (Meta Pixel, Google Ads). You can disable them in your browser.

6. International transfer

Some of our providers (Google Cloud, Resend, Cloudflare) are located outside Colombia. They comply with international data protection standards (GDPR, ISO 27001).
